We use GoHighLevel, based in the United States, as our primary CRM platform for managing client relationships, funnel pages, opt-in forms, calendar bookings, and email and SMS delivery. Video calls for discovery calls and consultancy sessions are conducted via Zoom and Google Meet, both operated by US-based entities. We use Google Drive and Gmail for file storage and email communication, and Google Analytics to analyse website traffic and improve our content.
Where payment processing is required, we use Stripe or an equivalent payment processor, based in the United States. For advertising and lead generation, we may use Meta (Facebook and Instagram), also US-based. Where design collaboration is required, we use Canva, which is based in Australia.
All third-party providers are contractually required to process your data securely and only for the purposes we specify. Where providers are located outside Malaysia and your home jurisdiction, we take reasonable steps to ensure adequate data protection safeguards are in place.
7.2 Professional advisers We may share data with our lawyers, accountants, or auditors where necessary for legal or compliance purposes. These parties are bound by professional confidentiality obligations.
7.3 Legal and regulatory authorities We may disclose your data to law enforcement, regulators, or courts where required to do so by applicable law or to protect our legal rights.

Enquiry and booking data from prospective clients who do not proceed to engagement is retained for 12 months from the date of last contact. For active and past clients, identity and contact data, financial and consultancy work product, and payment records are all retained for 7 years from the end of the engagement. This 7-year period reflects our obligations under the Malaysian Companies Act, tax law, and general legal best practice for professional services businesses. Email communications are retained for 3 years from the date of last communication.
Website analytics data collected through Google Analytics is retained for 26 months in line with Google's default settings. Records of marketing opt-ins and consent are retained for as long as your consent remains active, plus one additional year following withdrawal, to allow us to demonstrate compliance if required.
